Community is how churches reuse each other’s worship work — hymns and service-order templates — without linking live libraries together. When you add a listing, you get your own copy. If the publisher unshares later, your copy stays. AdoraPlan is a venue, not a publisher. We require a license class and a warning. We do not decide whether your church holds a CCLI (or other) license.
Playlists and slide decks are not community-shared yet. Public / Private on a playlist means visible inside this church, not to other churches.

Quick Start

  1. Set a church Short Name in Settings → Portal (required before you can share).
  2. To share a hymn: Hymns → card menu → Share to Community. Pick a license class, attest, then share.
  3. To share a service order: open a Program → ⋯ → Save as Template, turn on Share to Community, add a description and tags, attest, then Save & Share.
  4. To use someone else’s work: Hymns → Community (heart) or Programs → Create Program → Community (Use).
  5. Track what this church listed under Settings → My publications.

How-to Guide

Understand Catalog, My library, and Community

Community cards say Shared by grace-community, not the legal church name. That handle is the same slug used for portal URLs.

Set your church Short Name

Sharing is blocked until the current church has a Short Name (URL identifier).
1

Open Portal settings

Go to Settings → Portal (admins and moderators).
2

Choose a Short Name

Pick a globally unique identifier such as grace-community. This is the name other churches will see on your listings.

Share a hymn

Staff and admins can publish. Volunteers cannot.
1

Open Share to Community

On Hymns → My Hymns, open a hymn’s card menu and choose Share to Community.
2

Pick a license class

Choose Public domain, CCLI, Other license, Church original, or Unknown — metadata only. CCLI and other licenses need a reference number (for example the CCLI song number).
3

Attest and share

Confirm you have the right to share this snapshot. AdoraPlan does not grant performance or projection rights. Hosted audio is not included.
Unknown — metadata only shares titles and structure, not lyrics, charts, or recordings. Do not pick it if you intend to share words.
New churches wait for a platform moderator. Churches marked trusted publisher (granted by a platform admin, per church) list immediately. Batch Select cannot bulk-share — each hymn needs its own license class.

Share a program template

1

Save as Template

Open a Program with a complete Service Order. In the header ⋯ menu, choose Save as Template.
2

Keep the local copy

Your church’s template still stores team assignments and song library links. Sharing writes a separate community snapshot.
3

Turn on Share to Community

Add a description, at least one tag, and at least four service-order items. Confirm the attestation. Song slots in the listing are titles and CCLI references — not another church’s hymn IDs.

Add a community hymn to your library

1

Browse Community

Open Hymns → Community. Cards show the publisher Short Name, license class, and Report.
2

Acknowledge the license

Click the heart. Read the warning (for example CCLI) and confirm. AdoraPlan does not grant those rights.
The same warning can appear on About this hymn and when you Present. Your church is responsible before projecting lyrics.

Use a community template

1

Open the wizard

Go to Programs → Create Program (or Browse Templates from an existing program) and open the Community tab.
2

Use

Click Use. That copies the snapshot into this church’s template library, then you finish the program as usual. Song titles may still need to be linked to hymns in your library.

Report a listing

Every community card has Report. Choose a reason (copyright, personal information, spam, or other). Copyright and personal-information reports unlist the listing immediately while a moderator reviews. Spam stays visible until reviewed. You cannot report your own listing. Unshare or a takedown does not delete copies other churches already added.

Track My publications

Admins and moderators open Settings → My publications to see this church’s listings:
  • Pending review — waiting for a platform moderator
  • Listed — visible to other churches as your Short Name
  • Unlisted / Taken down — hidden from browse
  • Unshare — removes the listing; existing copies stay in other libraries
Settings → Moderation is not an approval queue. Churches do not approve their own listings. Platform review lives at Platform Admin → Community.
